Renting & Reservations
Any individual or company wishing to rent equipment from The Camera Exchange, Inc. must have a valid driver’s license and a major credit card which must be present. Because all equipment is rented on a first come first served basis, a reservation is recommended and may be scheduled up to one month in advance. We cannot guarantee availability on short notice or walk-ins.

Deposits
All deposits must be made in person by the individual renting equipment with no exception. A deposit for the full amount of the equipment value is required for every rental. If you do not have an established account with The Camera Exchange, Inc. the deposit must be made with a Visa, MasterCard, Discover or American Express credit card with sufficient limit to accept the full amount of the deposit. Credit and debit cards will be charged or debited for the full amount of the deposit and refunded when the rental equipment is returned.
Please note: Depending on the issuing bank, the refund may take up to 10 days to be processed by your bank.. The Camera Exchange, Inc. has no control over bank processing and can not be held responsible for any reason.
Cash is also an acceptable form of deposit. Individuals using credit or debit cards must be present at the time the deposit is processed and the name on the card must be the individual renting any equipment.

Cancellations
All reservations must be cancelled with a minimum of 24 hours advance notice. Cancellations with less than 24 hour notice are subject to a cancellation fee equal to the full amount of the rental rate.

Extending Rentals
We are glad to extend rental time; however, the following conditions will apply. You need to call The Camera Exchange at 210-349—4400 prior to your scheduled rental return. We take reservations on all rentals and extending your rental time may not be possible. If your rental is not returned on time and causes a loss of revenue or inconvenience to the next rental customer, you will be charged 5 times our normal daily rate.

Prices
Prices, deposits and specification in our catalog are subject to change without notice. The Camera Exchange, Inc. rental prices are based on the premise that the operators are experienced and well trained. If you need instruction or tips on how certain equipment operates, ask before leaving The Camera Exchange, Inc. However our instruction or tips on equipment function does not guarantee success with your rental and failure to understand the equipment operation is not an excuse for non-payment.


All Rentals are per calendar day. All rates shown are for one day’s rental, the weekly rate is equal to 4 times the daily rate. The monthly rate is 3 times the weekly rate. Rental items must be returned by 12:00 pm (noon) the next day. Any rental returned after noon on the due date will be charged for an additional day.

Payment
All payments for rental charges are made prior to the scheduled rental.

Insurance
As the renter, you assume full responsibility and are completely liable, for the condition of the rental equipment while it is in route to you, and in your possession. Insurance coverage is suggested for high value equipment. See your insurance provider for more specific information. Please note that Proof of insurance may be required prior to the rental, and must include the following:

1. Be “all risk” and equal the total replacement value of all rented equipment.
2. Name The Camera Exchange, Inc. as the sole “loss payee”.
3. Be the primary source of insurance coverage.
4. Insurance must be on file with The Camera Exchange, Inc. before the rental begins.

Loss or Damage
The renter agrees to assume full responsibility for all rental equipment and also agrees to compensate The Camera Exchange, Inc. for any and all equipment that is lost, stolen or damaged. This includes paying for all repairs up to the full replacement value of the equipment if it is damaged beyond repair, and paying full replacement value for stolen or lost equipment. ON intentionally damaged or abused equipment, the renter will also be charged a rental fee for the time period in which damaged equipment is our for repair or until payment is received for replacement of equipment.

Equipment
It is highly recommended that you inspect all equipment before accepting the rental. Any damages that occur after leaving The Camera Exchange, including during shipping, are the responsibility of the renter. Although we inspect all equipment before and after every rental and maintain our rental equipment to prevent most problems, it is not possible to predict all potential problems. Notify The Camera Exchange immediately of any problem with any rental equipment. Failure to do so may result in a full rental fee.

Spare Bulb & Instructions Manual Policy
Spare bulbs are provided upon request. There is no charge for the use of spare bulbs as long as the “burnt out” bulb is returned. However, any missing bulbs, shock failures, over-volting or bulbs which show signs of over-heating will be charged to the renter. Instruction manuals will be provided upon request, and will be charged for if not returned. There will be a charge for improperly installed bulbs that lead to failure.

Spare Battery Policy
Alkaline, Lithium and Silver Oxide batteries are considered expendable items. The Camera Exchange, Inc. provides batteries for most rental items, but can not guarantee the viability of the batteries whether the battery is consumable or rechargeable. It is highly recommended that you carry spare batteries which are at your expense. On equipment with rechargeable batteries, you well be provided with an additional battery. However, all rechargeable batteries do not come charged and may need charging prior to use.

Out of Town Rentals (within the U.S.)
The Camera Exchange, Inc. is happy to accommodate out-of-town rentals for customers with an established Camera Exchange charge account. A credit/debit card must be present for the deposits when renting equipment. We can not accept a credit/debit card for a deposit that is not present. If a card can not be represented for deposit, we recommend sending a money order. Do not mail cash. In addition, freight charges are billed to the renter, and rental charges begin the day the equipment is shipped, and ends the day the equipment is received by The Camera Exchange. We are not responsible for any an all delays caused by the carrier, and the renter is responsible for any and all additional charges incurred due the late shipment. We suggest that the weekly rate is taken advantage of, and the equipment is shipped out 48 hours in advance (we can not take first AM deliveries from UPS or FED-EX). All equipment will be shipped next day air unless otherwise requested.

Out of Country Rentals
Rental equipment must not be taken out of the Continental US without prior permission in writing from an authorized official of The Camera Exchange. If equipment is permitted by The Camera Exchange, Inc. renters are responsible for registration with US Foreign Customs. No rental allowance will be made for time lost due to improper documentation, impounding or delays of any kind by Customs for any reason.

Right To Refuse Service
The Camera Exchange, Inc. reserves the right to refuse rental of its equipment to anyone it deems inexperienced or does not meet the requirements set forth in our terms and conditions.

Try Before You Buy Policy
If you rent equipment for the purpose of trying it out before purchasing that item, the following applies to the purchase of the same equipment: Up to one day rental charges can be applied to the purchase of the same equipment rented within a week period from the rental return. All purchases must be made at The Camera Exchange, Inc. located at 6635 San Pedro Ave., San Antonio, TX 78216.
